Young & Co.’s Brewery P.L.C. (Young’s) operates 252 pubs across London and the south of England. Established in 1831, Young’s pubs have a reputation for top quality food and drink delivered with a warm friendly welcome.

Young’s were using several separate applications to meet their business requirements and their 17-year-old core finance system had issues with database structure and flexibility and was becoming increasingly difficult to support. Access to tailored data was  difficult for non-technical users; they needed better data visibility and to bring their systems into the 21st century. It was decided that it was time to introduce a single ERP system; they needed an adaptable solution that would bring together all the components of the business processes into one easy to use platform.

The solution was an ERP and advanced back office system based on the Microsoft Dynamics NAV platform with bespoke IP functionality built especially for pub companies, by independent Microsoft Gold Partner, Ocean Dynamics. This was a proven platform in the pub co market, being used by several large pub companies and breweries; a full ERP system with the option to expand to new functionality in the future – to grow with the business. It offered easy access to data and usability, and speed of processing; this system met all of Young’s requirements, with potential for growth.

Keith Wilson, Chief Accountant at Young’s said, ‘we needed a solution that would unify all of our business processes; to give us greater visibility across the business, to save staff time and minimise human error. The priority for us was to avoid disruption to our business, whilst introducing a much needed update to the systems we were using.’

The first phase of the project went live in April 2016, replacing the back office processes so that the core finance ledgers, fixed assets, sales order processing, invoicing, and 3rd party integration were all bought onto one platform.

The second phase went live in November 2016. This brought the crucial supplier invoice document capture process onto the same NAV platform powered by Continia. Having used a separate system for document scanning and authorisation hierarchy for approving invoices for the last ten years, it was essential that this vital process was also streamlined and unified with minimal disruption and downtime for Young’s. The Ocean Dynamics team replaced this system with a state of the art document capture solution fully integrated into the NAV platform.

‘We are very pleased to have gone live on phase 2 so quickly after phase 1 with what was a new product to both us and Ocean Dynamics,’ says Keith; ‘to have all our business processes running on the same uniform platform will make life so much easier for our finance team. The Ocean Dynamics team did a brilliant job; there was no downtime whatsoever and the integration of the new system was seamless.’
